eBay and KakoBuy: buying direct is simpler
eBay hosts listings from many sellers, and you pay through eBay. KakoBuy buys on Chinese marketplaces for you, and its help centre lists Taobao, Tmall, 1688 and JD.com as well supported. An eBay URL is therefore not a normal KakoBuy spreadsheet row. If the thing you want sits on eBay, ordering there keeps the dispute process inside one system.
- Buy on eBay: when the item is listed there and delivered to your country.
- Use a KakoBuy row: when the same product is cheaper from a Taobao, Weidian or 1688 seller and you accept a warehouse leg.
- Be careful: reselling anything you cannot show to be genuine.
eBay stays a direct purchase; KakoBuy is for the Chinese marketplaces.
What people mean by an eBay spreadsheet
Seller searches dominate. There are three common meanings: a bulk listing file, a sales ledger and a sourcing sheet that compares supplier cost with the sale price. A buyer rarely needs any of them, though a buyer might keep a short watch list. Download the official sample template from your seller account instead of trusting a list of columns found elsewhere, because field names change by country and tool.
| Sheet | Keeper | Core columns |
|---|---|---|
| Listing file | Seller | Title, category, condition, price, quantity, photo links |
| Sales record | Seller | Date, sale price, fees, postage, cost, net |
| Sourcing sheet | Seller | Supplier link, landed cost, target price |
Start from eBay's own sample file, then add your cost columns.
A sales record that shows real profit
Most sales sheets stop at the eBay fee and miss the supply side. If stock came through KakoBuy, copy each order's breakdown: item cost, domestic freight, international shipping share, customs. Our haul tracker CSV has these lines, and the fees page explains each.
Example with placeholder numbers; the 10% fee rate is not eBay's:
Item cost: ¥120 (about $16.80 at ¥1 ≈ $0.14)
Declaration share: ¥8 (about $1.12)
Shipping share: $6.00
Landed cost = 16.80 + 1.12 + 6.00 = $23.92
Sale at $40.00, fee at 10% = $4.00, postage to buyer $5.00
Net = 40.00 − 4.00 − 5.00 − 23.92 = $7.08
That $7.08 is before tax and time. Replace the fee with the rate shown on your account.
Net per unit, not the sale price, decides whether a listing is worth it.
Where KakoBuy's own rules affect a seller
| Rule | Detail |
|---|---|
| Storage | 100 days free, then ¥10 per order per 30 days |
| Return window | 5 days (120 hours) after stocking, if seller allows |
| Extra photos | ¥2 per photo |
| Commercial parcels | Over 10 kg or large identical quantities more likely to be treated as commercial |
| Prohibited | Items that infringe trademark or copyright |
Customs treatment follows your market. The EU applies a flat €3 duty per tariff category from 1 July 2026 plus VAT, and the US ended its $800 duty-free threshold in 2025. A resale parcel can be treated as commercial, so read the Germany page or USA page before ordering stock.
Know the commercial-parcel and prohibited-goods lines before you list.
Other platforms with the same pattern
Amazon has an equivalent set of order exports and seller files; see the Amazon page. For personal use, a single log with a source column is enough. If you would rather not open an agent account, scan our WhatsApp QR on the contact page and pay per order.
Reuse one cost-per-unit sheet across every platform.
Questions buyers ask
Can I buy an eBay listing through KakoBuy?
KakoBuy's help centre names Taobao, Tmall, 1688 and JD.com as its supported platforms and allows manual entry for other links. eBay sellers already post internationally in many cases, and the buyer-facing protections belong to eBay's own checkout. An agent in the middle adds a warehouse stop and a second shipping leg and removes none of the risk.
What is an eBay listing template spreadsheet?
It is a file of listing data that sellers upload in bulk instead of typing each item into a form. Typical columns are title, category, condition, price, quantity and image links, but the exact fields depend on the tool and your country. We did not verify eBay's current template, so download the sample from your seller account rather than copying a column list from a blog.
How do I record eBay sales for tax?
Keep one row per sale with date, item, sale price, fees charged, postage paid, cost of the item and the net result. Tax rules differ by country, so this page gives the layout and not advice. Export eBay's own transaction reports where available, then add cost columns from your supplier invoices, including KakoBuy's per-order breakdown.
Can I resell what I bought through KakoBuy on eBay?
Possibly for some goods, but not for trademark-infringing goods, which KakoBuy's terms prohibit and which marketplaces remove and customs can seize. Selling also changes your duty and tax position. Large identical quantities and parcels over 10 kg are more likely to be treated as commercial by customs, per KakoBuy's help pages.
What should my cost per unit include?
Item price, domestic freight to the warehouse, international shipping, customs charges and any payment fee. KakoBuy says it charges no handling fee and a declaration cost of generally ¥8 per parcel. PayPal adds a percentage plus US$0.30, and KakoBuy's pages disagree on whether that is 2.9% or 3.5%, so use the higher figure.
Is buying on eBay safer than buying through an agent?
They protect different things. eBay's rules govern disputes with its own sellers. KakoBuy's cover items it buys and stocks: a request within 5 days of stocking if the seller allows returns, free first return each month, and insurance you can add to parcels. Neither is a guarantee, so keep screenshots of listings and photos of what arrived.
